Order Management — Creating & Tracking Orders

Overview

Orders in KeenCRM represent confirmed purchases. They can be created manually or generated from existing quotes, invoices, or contracts.

Creating Orders

  1. From a Quote: Open a quote and click "Create Order" to convert it to an order with all line items
  2. From an Invoice: Open an invoice and click "Create Order" to generate an order
  3. From a Contract: Open a contract and use the "Create Order" action
  4. Manually: Go to Orders and click "Add Order" to create from scratch

Order Details

Each order includes:

  • Order number: Auto-generated unique identifier (e.g., ORD-20260315-1234)
  • Contact & Company: The customer associated with the order
  • Line items: Products/services with quantities, prices, and totals
  • Status: Draft, Confirmed, In Progress, Delivered, Completed, Cancelled
  • Delivery status: Pending, Shipped, Delivered
  • Payment status: Unpaid, Partial, Paid
  • Notes: Internal notes about the order
  • Currency: Supports VND and other currencies with proper formatting

Order Actions

  • Edit: Modify order details, line items, and status
  • Share: Generate a public link to share the order with the customer
  • Export: Download order as PDF
  • Delete: Remove an order (requires permission)

Relationship to Commissions

Orders can trigger commission rules. If you have a rule with trigger type "Order Created" or "Order Delivered", commissions are automatically calculated when orders reach those states.
