The KeenCRM Sales Flow: Lead → Contact → Deal → Quote → Order → Invoice

Updated March 15, 2026 2 views

The Complete Sales Lifecycle

KeenCRM's modules are designed to work together, guiding you through the entire sales process from first contact to final payment.

The Flow

1. Lead Capture

Module: Leads

A potential customer enters your system. They might come from a website form, trade fair, referral, or cold outreach. At this stage, you don't know if they're a good fit yet.

2. Lead Qualification → Contact Conversion

Module: Leads → Contacts

You reach out, ask questions, and determine if the lead is qualified. Once qualified, you convert the lead to a contact. This creates a permanent record in your CRM with the lead's history preserved.

3. Deal Creation

Module: Pipeline

Create a deal linked to the contact. The deal represents a potential sale with a value and expected close date. Deals live on the pipeline board where you can drag them through stages (Prospecting → Qualified → Proposal → Negotiation → Won/Lost).

4. Quote/Proposal

Module: Quotes

Create a quote for the customer with line items from your product catalog. Share the quote via a public link. The customer can review pricing and terms without logging in.

5. Contract (Optional)

Module: Contracts

For larger deals, create a formal contract from the quote. Track contract status from Draft to Signed.

6. Order

Module: Orders

Once the deal is won (or the quote is accepted), create an order to track fulfillment. Orders can be created from quotes, invoices, or contracts — all line items carry over automatically.

7. Invoice & Payment

Module: Invoices

Create an invoice for the order. Track payment status from Unpaid to Paid. Invoice payments can trigger commission rules.

8. Commission

Module: Commissions

Commission rules automatically fire at each stage — Deal Won, Order Created, Invoice Paid. The sales rep (and any split members) receive their commission records.

How Modules Connect

Lead → (convert) → Contact ← linked to → Company

Deal ← has → Activities, Tasks, Files

Quote → (accept) → Order → Invoice

Key Principle

You never have to re-enter data. When you convert a lead to a contact, create a deal, generate a quote, or convert to an invoice — all relevant data flows automatically between modules.
