Troubleshooting: Why Can't I See Certain Data?

Problem

You're logged in but can't see certain contacts, deals, commissions, or other data that you know exists.

Most Likely Cause: Data Access Level

KeenCRM uses Role-Based Access Control (RBAC) to control what data each user can see.

Data Access Levels

| Level | What You See |

| Own | Only records you created or are assigned to |

| Team | Records belonging to your team |

| All | All records across the entire organization |

How to Check Your Access Level

  1. Go to SettingsTeam
  2. Find your name and check your assigned role
  3. The role determines your data access level

Common Scenarios

"I can't see my colleague's deals"

→ Your role probably has "Own" data access. Ask your manager to change it to "Team" or "All".

"I can see deals but not commissions"

→ Your role might not have "Read" permission for the Commissions module. Check module permissions.

"I can see data but can't edit it"

→ Your role has "Read" permission but not "Update" permission. Ask your admin to update your role.

"My Commission tab shows 'No commissions found'"

→ Either you have no commission records assigned to you, or there are no commissions within the selected time filter. Try changing the time filter to "Year" to see all-time data.

Solution

Contact your KeenCRM administrator to:

  1. Review your current role and permissions
  2. Adjust your data access level if needed
  3. Grant additional module permissions if required

Key Principle

RBAC exists to protect sensitive data. Not everyone should see everything. Your admin configures access levels based on your role in the organization.
